Work Schedule:Monday - Friday, 6:45 AM to 3:45 PM (PST)

Position Overview:
We're seeking an experienced and highly organized Operations & Executive Assistant to support a Head of Growth in a multi-entity business environment. This is a hybrid role that blends traditional executive assistance with operational and customer support responsibilities, ideal for a proactive problem-solver who thrives on variety, ownership, and making a tangible impact.
Key Responsibilities:
- Provide strategic support to the Head of Growth, including task prioritization, project follow-up, and day-to-day operations management.
- Manage customer orders and inquiries with professionalism and speed, ensuring high satisfaction.
- Oversee delivery logistics and inventory coordination across business entities.
- Maintain structured team communications, task workflows, and status updates via tools like Monday.com and Microsoft Teams.
- Coordinate vendor communications and help manage relationships with warehouse/field teams.
- Support invoice, PO, and financial process tracking via QuickBooks Online.
- Serve as the key operations contact to drive execution, minimize friction, and increase efficiency.
Qualifications:
- 3+ years of experience as an Executive Assistant, Operations Coordinator, or similar role.
- Proficiency in Shopify (order management), QuickBooks Online, Microsoft Office Suite (including Teams), Monday.com, and VoIP phone tools (OpenPhone, Dialpad, etc.).
- Excellent communication skills, both written and verbal, with a B2 or C1 English proficiency level.
- Native Spanish speaker required.
- Outstanding organizational skills.
- Excellent communication skills, both written and verbal.
- Detail-oriented and accountable, with a demonstrated ability to multitask in fast-paced environments.
- Experience working independently and in a remote team structure.
- Strong customer service instincts and professionalism.
Nice-to-Haves:
- Experience in multi-entity or diversified business structures.
- Familiarity with working with logistics or warehouse teams.
- Vendor management experience.
- Ability to document processes or train others in operational procedures.
- Working knowledge of inventory management principles.
