HR & Office Manager

Job Description 

We’re looking for a capable and hands-on HR & Office Manager to play a pivotal role in shaping our client's company’s people function while ensuring the smooth running of their Malta HQ. This role blends HR leadership, office management and high-level executive support, including overseeing aspects of the owner’s personal properties and logistics.

You’ll be instrumental in building HR systems and culture across both our client's Malta and Cyprus operations, working closely with the external Strategic HR Advisor and mentoring departmental heads in meeting their HR objectives. You will also support the owner with personal scheduling, travel and property coordination through third-party suppliers. This is an office-based role in Mosta with occasional travel required between Malta and Cyprus.

Responsibilities:

As a HR & Office Manager, your broad responsibilities will include but are not limited to:

• Collaborate with the Strategic Advisor to build and implement robust HR structures, policies and tools.
• Manage and oversee the use of HR systems (HRIS, ATS) and support payroll processes; familiarity with platforms like Indigo is highly preferred.
• Drive employee engagement and performance initiatives across Malta and Cyprus offices.
• Guide and mentor Heads of Department in achieving HR-related KPIs.
• Conduct training sessions and facilitate onboarding and L&D processes.
• Ensure full compliance with local employment regulations.
• Manage day-to-day office operations to create an efficient, productive, and professional environment.
• Supervise reception and front-of-house operations to ensure a welcoming and well-organized space.
• Coordinate with suppliers and service providers for office needs and upkeep.
• Implement and maintain administrative systems and reporting processes.
• Support the owner with executive-level assistance including diary management, scheduling, and occasional travel arrangements.
• Coordinate third-party contractors and service providers to ensure the upkeep and smooth running of the owner’s personal properties.
• Proactively manage personal logistics and handle sensitive matters with discretion and efficiency.

    Requirements:

    • Experience in a multi-functional role encompassing HR, office management and executive support.
    • Assertive and confident, with the maturity to manage both people and sensitive matters independently.
    • Exceptionally organized with a strong sense of ownership and an affinity for systems and structure.
    • Warm, personable and comfortable working with people at all levels.
    • Data-literate and comfortable making decisions based on metrics and reporting.
    • Excellent verbal and written communication and confident in presenting and conducting internal training.
    • Open to occasional business travel.
