Office Manager / Full-Charge Bookkeeper (Mechanical Contracting) Location: New York, NY Salary: $80,000 – $85,000 + Benefits The Role: We are a specialized mechanical contracting firm delivering high-end residential and commercial projects across New York City. We are seeking a sharp, detail-oriented Office Manager and Accountant to serve as our administrative backbone. This is a "Full-Charge" role where you will manage the critical financial and compliance workflows that keep our field teams and multi-million dollar projects moving. What You'll Do: Financial Oversight: Manage all full-charge bookkeeping duties, including AR/AP, payroll processing, and monthly bank reconciliations. AIA Progress Billing: Prepare and submit AIA G702/G703 documents to ensure timely and accurate payment applications for ongoing projects. Compliance & Risk Management: Own the COI (Certificate of Insurance) process, verifying that all subcontractors meet specific mechanical trade requirements before arriving on-site. Lien Waiver Coordination: Track and execute primary and secondary lien waivers to maintain a clean payment cycle and protect the company from liability. Project Documentation: Support the field team by organizing project files, managing DOB-related paperwork, and maintaining safety compliance logs. Subcontractor Liaison: Act as the main point of contact for 20+ subcontractors regarding payment status, compliance issues, and contract administrative needs. What We're Looking For: Experience: 5+ years in a construction or mechanical trade office (HVAC, Plumbing, or Electrical experience is highly preferred). Technical Skills: Proficiency in Sage 100/300 Contractor or QuickBooks Desktop (Contractor Edition) is essential for job costing. NYC Expertise: Solid understanding of New York City construction compliance, including NYS sales tax (Capital Improvement/ST-124) and DOB filing basics.
