Position Overview We are seeking a dependable and organized Administrative Assistant to serve as the face of our office and help keep daily operations running smoothly. This role goes beyond traditional reception duties and plays a key part in supporting the team through purchase orders, billing, and overall office coordination . The ideal candidate is detail-oriented, positive, and able to manage multiple responsibilities in a fast-paced environment while maintaining a high level of professionalism. Key Responsibilities Manage high-volume inbound calls and direct inquiries appropriately Greet and assist visitors, customers, and vendors in a professional and welcoming manner Prepare and process purchase orders (POs) for the division Handle billing and posting for all jobs/projects Support day-to-day administrative and office operations Assist with various projects and tasks as needed Maintain consistent attendance and reliability in supporting office functions Help keep the office organized, efficient, and running smoothly Skills & Qualifications Strong communication and interpersonal skills (must be people-focused and positive) Highly organized with strong attention to detail Ability to multitask and prioritize in a fast-paced environment Proactive, self-motivated, and takes ownership of responsibilities Strong problem-solving skills and sound judgment Ability to work both independently and as part of a team Professional demeanor in appearance, communication, and behavior Proficient in Microsoft Office Requirements Minimum of 1 year of administrative or front office experience Experience handling billing, invoicing, or purchase orders is a plus Reliable, punctual, and detail-oriented Benefits Health and vision insurance Paid time off Ideal Candidate We're looking for someone who brings positive energy, strong people skills, and a team-first mindset .
