Administrative Assistant (IKM) for NATO with security clearance

The CQO RPMO is a dynamic team dedicated to supporting the wider HQ SACT enterprise through robust project management and knowledge sharing. The selected candidate will support the team by streamlining workflows, maintaining the SharePoint presence, and assisting with internal communications. This fast-paced, international environment requires a professional with attention to detail and a solutions-oriented mindset who is ready to work alongside committed colleagues. Responsibilities: Knowledge Management System Administration – Maintain and update internal knowledge repositories (e.g., SharePoint, document management systems), ensuring information is accurate, organized, and accessible. Update/enhance CQO SharePoint portals, working with various stakeholders to retrieve expected information and implement/deliver desired outcomes Administrative Coordination and Support – Provide general administrative support including scheduling meetings, preparing agendas, taking minutes, and tracking action items. Training & User Support – Provide guidance and basic training to staff on knowledge management tools and administrative systems. Continuous Improvement Support – Identify gaps in information flow and recommend improvements to systems, processes, and collaboration practices. Document Control & Records Management – Develop, implement, and monitor document filing systems (both digital and physical where required), including CQO CIS assets inventory, ensuring compliance with organizational and data protection policies. Information Organization & Archiving – Classify, tag, and archive documents according to established taxonomies and retention schedules. Internal Communications Support – Support preparation of newsletters, internal updates, presentations, and briefing materials. Quality Assurance & Compliance Monitoring – Ensure documentation and records meet internal standards and regulatory requirements Essential Qualifications & Experience: Advanced knowledge and experience with IKM and Information Management. Advanced knowledge in SharePoint (SharePoint sites Design and Development, SharePoint Permissions Management, SharePoint Workflows, SharePoint Document Management, SharePoint Content Management) Advanced knowledge of MS-Office Package Good knowledge and Experience in Designing SharePoint portals that are intuitive and user-friendly, to support effective collaboration 3 years of experience in IKM and SharePoint Excellent spoken and written English communication and presentation skills, demonstrated by recent experience (within the past 5 years) Ability and self-motivation to work both on her/his own and within groups, as part of a team Attention to details, together with ability and keen sense for problem-solving.
