Supplemental - Learning Services Office Assistant

Summary

The Learning Services Office Assistant provides office support for the day to day operations of the Advising Center and the Department of Learning Services. This position interacts with a high volume of students and community members displaying patience and compassion. This individual must be detail-oriented, have excellent customer service and organizational skills. Must be dependable and punctual.

Qualifications

Required:

  • One year of post-secondary education plus two years related work experience
  • Ability to organize and prioritize work
  • Excellent written and verbal communication
  • Experience using Microsoft Office software (e.g. Microsoft Word®, Excel®, Power Point®)
  • Knowledge of and the ability to use the Internet, email, and calendaring software
  • Experience keeping and interpreting accurate, detailed data and information for reports

Preferred:

  • Experience using Google Apps
  • Associate’s degree in a related area plus one year related work experience
  • Experience in office support and customer service
  • Experience creating and editing files using Adobe software
  • Determines students’ needs by asking guiding questions and schedules appointments with advisors, connects students to resources or refers to other departments
  • Provides customer service in a friendly welcoming manner
  • Responds to requests for information, exercising discretion in obtaining and providing factual and confidential information related to office and college operations
  • Assists students using the Advising Kiosk
  • Compiles and distributes career testing materials
  • Types correspondence and other documents in Microsoft Word and/or Google Apps
  • Creates spreadsheets and performs accurate data entry in Microsoft Excel, works with PowerPoint
  • Copies, scans, prints, e-mails and files documents
  • Answers multi-line telephones
  • Completes projects assigned by Office Manager, Director and Associate Dean
  • Accepts and processes payments
  • Maintains supplies and a clean, orderly environment for the students using the Advising Center

Language Skills

Ability to read and comprehend written instructions, correspondence, and memos. Ability to understand logical thinking within database systems. Write effective correspondence to communicate with students and staff and community over email and by mail. Ability to effectively communicate information to customers and employees of the organization. Ability to read and interpret documents such as banner manuals. Ability to write and update procedure manuals. Ability to write routine reports. Ability to speak effectively and informatively to answer questions for customers or employees of the organization.

Mathematical Skills

Ability to add, subtract, multiply, and divide. Ability to calculate figures and amounts to balance a daily cash drawer. Ability to compute cumulative GPAs to answer student questions.

Reasoning Ability 

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to solve practical problems and deal with a variety of concrete variables for immediate explanations to students and staff. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
