Position: Administrative Assistant
Hourly Rate: $22.10 up to $25.38 per hour, based upon education and related experience
Schedule: Full Time, 37.5 hours each week. Some flexibility in the hours is required.
Location: Homestead area of Pittsburgh, PA
Primary Purpose of Department:
The primary function of the administrative assistant is to provide supports to the Director of Educational Services to ensure the smooth running of the SAP, Prevention, Contract, Day Academy, and other school-based programming. This is done in accordance with all agency policy and procedures as well as the Agency's Vision, Mission and Values.
Primary Purpose of this Position:
The primary purpose of this position is to provide full support to the Director of Educational Services and Director of Administrative Services. This position has access to highly confidential information and must adhere to strict confidentiality standards on all work. Ability to work independently and prioritize while maintaining organizational skills is essential in addressing these needs meeting all deadlines.
Core Job Duties:
- Schedule meetings and record detailed minutes for staff, safety, and other meetings.
- Enter and maintain data in the WITS system for SAP and Prevention programs.
- Manage agency files, including minutes, bylaws, contracts, and audits.
- Monitor staff schedules in My Avatar and update the WITS system daily.
- Communicate regularly with administrative staff within the department.
- Review, update, and distribute SAP and Prevention manuals.
- Manage schedules, correspondence, and administrative tasks for the Directors.
- Support document preparation, verification, and personnel recordkeeping.
- Assist with scheduling and supervision of the Director of Educational Services.
- Facilitate team-building activities and coordinate related efforts.

Qualifications
Required Minimum Training:
- Bachelor's degree in Business or Public Administration and two years of experience in personnel, finance, or business management. An equivalent combination of training and experience will also be considered.
- Alternatively: Four years of administrative services experience.
- Must possess all required state and federal clearances.
- Good Motor Vehicle Record (MVR) and ability to drive as needed.
Skills and Abilities
- Proficient in parliamentary procedure (Rogers Rules of Order), with a strong understanding of terminology and key facts related to Mental Health (MH), Intellectual Disabilities (ID), and Drug & Alcohol (D&A) services.
- Typing speed: 60+ WPM
- Extensive software proficiency: Microsoft Word, Excel, Teams, SharePoint, Paycom, and other agency-specific software.
